How To Export Projects With Companies And Contacts

Export your search results as a CSV file containing projects along with all associated companies and contacts. This is perfect for creating comprehensive lists for your sales teams, CRM imports, or outreach campaigns.

What This Feature Does

Export your search results as a CSV file containing projects along with all associated companies and contacts. This is perfect for creating comprehensive lists for your sales teams, CRM imports, or outreach campaigns.

Starting an Export

After running a search, click Export Results at the top of the page. This will:

  • Take your complete result set from the search

  • Convert it into a CSV/Excel file

  • Include all the data fields you specify

You can also access Historical Exports to view, copy, re-run, or delete previous exports.

Step-by-Step Export Process

Step 1: Name Your Export

Enter a descriptive name (e.g., "Test for Demo") so you can easily identify it later.

Step 2: Choose Your Template

You'll see several options on the left side showing the export name, number of projects, and template being used.

Standard Templates:

Letter Mail Merge (default) - Includes:

  • Project ID, title, time last updated, project value

  • Company fields

  • Contact fields

  • Sorted by latest

Call List - Optimised with phone numbers and call-specific information

Standard Export - Basic company information for each project

Custom Template - Build your own (most popular option)

Step 3: Build a Custom Template

For complete control over your export, select Custom Template. You can add fields from three categories:

Project Data - Select from all available project fields:

  • Project details, values, stages, locations, timelines, etc.

Company Data - Choose company information:

  • Company email

  • Company ID

  • Company name

  • Phone number

  • Website

  • Role on the project (e.g., architect, main contractor)

Contact Data - Add individual contact details:

  • First name and last name

  • Mobile number

  • LinkedIn profile

  • Email address

  • Role within the company

Simply click Add next to each field you want to include.

Step 4: Save Your Template (Optional)

After selecting your fields:

  • Press Yes to save this template for future use

  • Enter a template name

  • Press No if you only need this configuration once

Saved templates appear in your custom template list for quick access later.

Refining Your Export

Before exporting, you can apply filters to focus your data:

Filter by Company Role

Only include specific roles (e.g., architects only) to narrow your export.

Exclude Companies or Contacts

  • Companies with no contact details

  • Companies with no email addresses

  • Contacts with missing information

  • High record spend contacts (optional limit)

Avoid Duplicate Contact

Critical for efficient outreach - Exclude projects, companies, or contacts you've already contacted:

  1. Select the contact type (phoned, emailed, or mailed)

  2. Choose a time period (e.g., exclude contacts phoned in the last 7 days)

  3. The system will automatically remove these from your export

This prevents you from repeatedly contacting the same leads and keeps your outreach efficient.

Tracking Your Outreach

When running the export, tell the system what you're doing with this data:

Mark as Phoned - Logs that you're calling everyone on this list

Mark as Emailed - Logs that you're emailing everyone on this list

Mark as Mailed - Logs that you're sending postal mail to this list

Don't Track - Export without logging any contact activity

This tracking integrates with the exclusion filters above. For example, if you mark an export as "phoned," future exports can automatically exclude those contacts if you set the filter to "exclude contacts phoned in the last X days."

Running the Export

  1. Review your template and filters

  2. Select your tracking preference

  3. Click Export

  4. The CSV file will be generated and downloaded to your computer (takes a few seconds)

Accessing Historical Exports

Go to Historical Exports to see all previous exports. For each one you can:

  • View details - See number of rows, date created

  • Copy - Duplicate the export settings

  • Re-run - Generate fresh data using the same settings

  • Delete - Remove from your history
